Product Approval
Physician sign-off on a product request, before the surgery date
With Product Approval, anyone in the OR or supply chain can raise a request for a product an upcoming case needs, without an account. The service line’s physician leader and chief medical officer approve or decline from an emailed link, and timers you set for each service line escalate a request nobody has answered.
Decide what silence means before the request arrives
When a product request is tied to a surgery date, no answer is still an outcome: the case waits, or the product is used without sign-off. Write down, for each service line, who decides, how long they have, who it goes to next, and whether one yes with no objection is enough to proceed. Product Approval turns those answers into settings, but the list is worth having even on paper.
A practice worth copying, with or without Product Approval.
What it does
The rules are set per service line: who decides, how much each decision counts, and how long a request can wait before it moves.
A request form that needs no account
Hospital, service line, surgery date, surgeon, product, part number, supplier, vendor rep and the reason for the request. The requester sees a confirmation on screen and gets an email when the decision is made.
Approve or decline from the email
Approvers receive an email with a unique link that opens the request, and approve or decline with a note without signing in. Signed-in users can decide from the work center too.
Weighted decisions
Each approver carries a decision weight. Approvals that together reach the threshold approve the request, and a single decline declines it.
Timers for each service line
If nobody has answered within the window you set, the request escalates to a named contact. If you set an auto-approval window, one approval with no objection is enough once it passes. A scheduled job keeps checking open requests.
A record of every decision
Each request keeps a change log of its submission, every approval or decline with its note, escalations and automatic approvals, plus a history of earlier values. The work center, a report and a dashboard summarize activity.
From request to decision
Someone raises the request
The requester fills in the form for an upcoming surgery. No login is needed.
Approvers get the link
The service line’s physician leader and chief medical officer are emailed a link, and approve or decline with a note.
The rules settle it
Weighted approvals decide the outcome. Silence escalates the request after the window you set, and an auto-approval window, if you use one, lets a single approval with no objection stand.
Everyone hears the outcome
The requester is emailed the decision. The request, its change log and its history stay searchable and reportable.
Good to know
What it does not do, so you can rule it in or out quickly.
- The product is described in free text: name, part number and supplier. Nothing is checked against your item master, contract pricing or ERP, and it is not connected to Implant Control.
- Escalation goes one level, to the contact you name. If that contact does not answer either, the request stays open in the work center.
- Silence never declines a request. Only a person does.
- It approves product requests. It is not a document review or e-signature tool, and there is no designer for building other approval chains.
Existing customers may know it by its earlier name, DAF.
Who it is for
Value analysis and supply chain leaders
Set who decides for each service line, and keep a record of every product approved, for which surgeon, and why.
Perioperative and service-line managers
Raise a request ahead of a scheduled case, and see it escalate if nobody answers.
Physician leaders and chief medical officers
Decide from the email link, with the request details in front of them and no password to remember.
