Delivery Tracking

Every pickup and delivery between your facilities, on one record

With Delivery Tracking, departments request a pickup in a structured form instead of calling the courier office. A dispatcher assigns a driver, the driver records each step with notes and photos, and the sender and receiver follow along by email and text, with a tracking link that needs no account.

Count pickup exceptions and delivery exceptions separately

They point to different fixes. A pickup exception usually traces back to the sending side: the item was not ready, or not where the request said it would be. A delivery exception usually sits at the other end: nobody there to receive it, or the wrong stop. Counted together, they only tell you that something went wrong. Counted apart, each one tells you whose process to look at. Delivery Tracking records them as separate statuses, with the driver’s notes and photos attached.

A practice worth copying, with or without Delivery Tracking.

What it does

It follows each request through the statuses a courier team already uses, from draft through accepted, assigned and picked up to delivered, with an exception status at each end of the run.

  • A request with what the driver needs

Sender and receiver details, pickup and drop-off stops chosen from your own list, requested dates, and each package as a box, bag, equipment or other item, with quantity, description and an optional photo. A cost center travels with the request for chargeback.

  • One dispatch queue

Dispatchers accept or decline each request, assign a driver with pickup and delivery dates, reassign when plans change, and split one request into related requests.

  • A driver queue that records each step

Drivers mark picked up and delivered, or log a pickup or delivery exception, adding notes and photos as they go. Each request keeps who picked it up, who delivered it, and the requested, assigned and actual times.

  • Updates without an account

Status changes and driver assignments send email and text updates to the sender and receiver, with a link to a tracking page that needs no login. It shows the times, the driver, the packages, notes, photos and any related split requests.

  • Schedules, stops and routes

A calendar shows each driver’s assigned work and can be downloaded. Administrators maintain locations, addresses and named stops, and standing routes with their stops in order.

  • History and reporting

Requesters see their active requests and their full history. Managers run the intake report for any date range and export it to CSV.

From request to delivery

  1. A department requests a pickup

The requester fills in the stops, dates, packages and cost center, then submits, or saves a draft to finish later.

  2. Dispatch accepts and assigns

A dispatcher accepts or declines, assigns a driver and dates, and splits the request if it needs to be.

  3. Sender and receiver are told

Each change sends an email and a text with the tracking link.

  4. The driver records each step

Picked up, then delivered, or an exception at either end, with notes and photos.

  5. Managers review the record

The schedule calendar, request history and intake report show volume, timing and exceptions.

Good to know

What it does not do, so you can rule it in or out quickly.

  • There is no GPS or live map. The tracking page shows the last step a driver recorded, with its time.
  • It does not scan barcodes, capture signatures or monitor temperature, and it is not a chain-of-custody system. Keep your existing controls for anything that needs them.
  • Routes are reference data. It does not plan or optimize routes.
  • There is no native app. Drivers and requesters use it in a phone or desktop browser.
  • Requesters sign in to submit. Receivers following a tracking link do not need to.

Existing customers may know it by its earlier name, IRT.

Who it is for

  • Transportation and courier managers, and dispatchers

See all demand in one queue, balance it across drivers, and pull volume and exception data by date.

  • Drivers

Work their own queue in a phone browser, and record pickups, deliveries and exceptions as they go.

  • Requesting departments

Lab, pharmacy, supply chain and biomedical teams request a run in one form, with the cost center captured up front, and follow it without calling anyone.

  • Receivers

Get the updates and the tracking link without needing an account.
